2. What we collect and why
When you send a message through the contact form
We collect your first name, surname and email address, and anything else you choose to give us: your business name, the services you are interested in and your message. We also record the date and time you sent it and the website address it was sent from.
We use these details only to read your enquiry, reply to you and, if you would like to work with us, to prepare a quote and plan the work. Our lawful basis is that this is a step you have asked us to take before we might agree a contract with you (UK GDPR Article 6(1)(b)). Where you are writing on behalf of a business, we also rely on our legitimate interest in answering business enquiries (Article 6(1)(f)).
Your name, email address and message are needed for us to reply. Everything else is optional. We do not use the form to add you to a mailing list, and we never sell your details.
When you email us or message us on Instagram
We receive whatever you include in your message and use it in the same way, to reply and to discuss the work.
If you become a client
We keep the contact and billing details we need to carry out the work, invoice you and keep proper accounts. Our lawful bases are the contract with you (Article 6(1)(b)) and our legal obligations, such as tax record-keeping (Article 6(1)(c)).
When you visit the website
Like every website, ours is delivered by a hosting company whose servers record technical information such as your IP address, the pages requested and the time, so the site can be delivered and protected from misuse. We do not use this to identify you, and we do not run analytics, advertising or tracking on this website.
We do not make decisions about you by automated means.
3. Who we share it with
We use a small number of trusted service providers who handle personal data for us under contract and only on our instructions:
| Provider | What they do for us |
|---|---|
| Google (Google Workspace) | Business email, and storing the messages sent through the contact form in a private spreadsheet. The form is processed by a Google Apps Script service that only we control. |
| Netlify | Hosts this website and keeps server logs to deliver and protect it. |
Some of these providers may process data outside the UK, including in the United States. Where they do, the transfer is protected by safeguards recognised under UK law, such as the UK Extension to the EU–US Data Privacy Framework or the UK International Data Transfer Addendum to standard contractual clauses.
We will only share your details with anyone else if the law requires us to, or with your agreement.
4. How long we keep it
- Enquiries that do not lead to work: deleted within 12 months of our last contact with you.
- Client records: kept for six years after the end of the financial year the work relates to, because company and tax law require us to keep accounting records.
- Hosting server logs: kept by Netlify for a short period for security and running the service.
5. Cookies and your device
This website does not use cookies. It does not use analytics, advertising pixels or any other tracking, so we do not ask you to accept cookies.
The only thing the site stores on your device is a small setting, and only if you press the “Simple view” or “3D view” button:
| Name | Type | Purpose | How long |
|---|---|---|---|
rm-view | Session storage in your browser | Remembers whether you chose the simple or the 3D version of the site, so the page shows the version you asked for. | Deleted when you close the tab |
It is never sent to us or anyone else. Because it only exists to give you the view you asked for, the law does not require consent for it. You can clear it at any time by closing the tab or clearing your browser’s site data.
The fonts, code and films on this site are served from our own website, not from third-party services, so visiting the site does not pass your details to anyone else. If a film is ever played from YouTube instead, it is loaded in YouTube’s privacy-enhanced mode, and only after you press play.
6. Links and social media
This site links to our Instagram, TikTok and YouTube pages, and to films on YouTube. When you follow one of those links you leave our website, and the platform’s own privacy policy applies. If you message us on Instagram, Instagram (Meta) also processes that conversation under its own terms.
7. Your rights
Under UK data protection law you have the right to:
- ask for a copy of the personal data we hold about you;
- ask us to correct anything that is wrong or incomplete;
- ask us to delete your data;
- ask us to restrict how we use it, or object to us using it;
- ask for data you gave us to be passed to you or another organisation in a commonly used format.
Some of these rights depend on the reason we hold the data, and some do not apply where the law requires us to keep records. To use any of them, email info@rishmotions.co.uk. There is no charge, and we will normally reply within one month.
8. Questions and complaints
If you have a question or are unhappy with how we have handled your personal data, please tell us first by emailing info@rishmotions.co.uk or messaging us on Instagram. We will acknowledge your complaint within 30 days, look into it without undue delay, keep you updated and tell you the outcome.
You also have the right to complain to the Information Commissioner’s Office (ICO), the UK’s data protection regulator: ico.org.uk/make-a-complaint or 0303 123 1113.
We may update this page from time to time. The date at the top shows when it last changed.
